Business Travel Tips: After a Cancellation

The College of Medicine Business and Finance Services are providing tips to help you navigate common situations when completing travel-related expense reports.

If a trip is cancelled, leave the Spend Authorization (SA) open if there were flights purchased for the trip. Once the credit shows, please process an Expense Report (ER) noting that the trip was cancelled, and that the ER is to reconcile CTA charges for the airfare. Check the final ER Box. Then select the flight, agent fee, and flight refund. On each expense line, you will need to attach the air ticket.

You should select the following from the CTA boxes:

  • Original trip airfare cost
  • Original trip air agent fee (for travel within the U.S. the fee is $30.16)
  • Credit/refund for the original trip airfare cost
