Secure Your Zoom Meetings with These Steps

Zoom is a powerful tool for connecting students and employees across the WSU system, but it can also be an attractive avenue for malicious actors or companies to gain unauthorized access to your meetings and webinars. Without the right security measures, Zoom bombers, video scrapers, and other unwanted meeting participants can record materials without your consent or cause significant disruption.

Fortunately, there are a few simple steps you can take to prevent unauthorized access to your meeting:

  1. Avoid publicly posting join links and passcodes: Avoid posting open Zoom links, including passcodes, in public locations such as webpages and online event calendars. These are particularly vulnerable to data scraping. Instead, require registration to ensure only the appropriate stakeholders have access to your meeting. You can learn how to set up registration for your meeting.
  2. Enable the Waiting Room feature: The Waiting Room feature allows the host to control when a participant joins the meeting. There are various security levels available in this setting, including allowing WSU members to join the meeting upon logging in, while ensuring that non-WSU members are admitted by the host.  
  3. Enforce Host Only Screen Sharing: This prevents participants from being able to share their screen at any time during your meeting.
  4. Restrict Access and Downloading: Avoid sending mass messages with download links and details. Instead, require user authentication before they can download content.
