Business Travel Tips: Lost or Inadequate Receipts

Proper receipts are very important when submitting an expense report. A receipt is considered inadequate if it does not properly show detailed information of the expense. This includes:

  • Date
  • Traveler’s Name
  • Vendor Name – including location/address
  • Itemization of charges
  • Total amount of charges
  • Payment showing the expense had been paid in full

Please note: Confirmation emails that show the traveler successfully booked airfare, a hotel, a car rental, etc. are not adequate receipts.

If the traveler cannot obtain an adequate receipt, have them complete and sign an Affidavit of Lost Receipt and attach it to the expense line, along with the inadequate receipt.

Lodging and airfare that is submitted with an Affidavit of Lost Receipt will also need to have a bank statement or other proof of payment submitted along with the request.
