1.0 Policy Statement
It is the Elson S. Floyd College of Medicine policy that grades be submitted in compliance with LCME standards.
2.0 Definitions
Final Course Grades
The concluding or ending value assigned at the end of the course.
Clinical Rotation
This includes the Longitudinal Integrated Clerkship (LIC) and all 4th year rotations with clinical experiences
Non-Clinical Rotation
Any rotation occurring in Year 4 that does not involve direct patient care

4.0 Procedures
Timely Release of Grades
- Final course grades for students in the first- and second-year curriculum will be submitted to the Registrar’s Office by the Student Assessment Unit for official recording on the fifth Thursday after the close of the term.
- For courses in the clinical years of the curriculum, the College of Medicine in compliance with LCME standards, requires that a grade be reported to the student within six weeks of the end of the course. Course directors are responsible for the assignment of final course grades within the clinical years with support from the Student Assessment Unit. The Student Assessment Unit will ensure grades are available to students through the assessment dashboard and the learning management system. Because clinical rotations do not align with the registrar, submission of grades to the registrar for transcripts is done on a by-term basis.
- In situations in which a student has not completed the required work or needs to remediate part of a course, the student will receive a grade of X until the course is completed.
